Tournaments - Registration Guidance and Tips

Who is the current Tournament Coordinator?

This is currently the VP of Travel, Erik Lillquist (he chooses the tournaments, registers the teams and initiates payment).

FOR 2018/2019 THE BELOW HAS BEEN SUSPENDED AS WE TRY A NEW PROCESS IN WHICH CLUB MANAGEMENT CHOOSES TOURNAMENTS AND REGISTERS TEAMS; THE BELOW MIGHT REMAIN FOR EXTRA TOURNAMENTS WHERE PAYMENT BY CLUB CHECK CAN BE ORGANIZED 

What does the Tournament Coordinator do?
To eliminate the need for team managers to pay and be reimbursed, payment will be made through club check after the registration deadline has passed and once tournament management has provided an invoice covering all teams. The Tournament Coordinator is responsible for obtaining instructions from tournament management on how team managers should register and how the invoicing works. Once a registration deadline has passed, the Tournament Coordinator will provide tournament management with a list of teams registered, and then forward the invoice received from tournament management to the MUSC finance division so a club check covering all registered teams can be mailed. Note that most EDP teams are registered through or with the help of MatchFit, so the Tournament Coordinator does NOT handle EDP tournaments other than collecting data and feedback on team participation and experience.  

What can the Tournament Coordinator not do?

Given (1) the large amount of MUSC teams and their different tournament interests, priorities and player availability, (2) the many weeks it can take to organize club payment, and (3) the need for teams to register early in order to not be shut out,  the Tournament Coordinator generally CANNOT provide registration information or club payment support for tournaments that fewer than 3 teams expressed interest in and/or tournaments that are taking place within 6 weeks of being contacted.

The Tournament Coordinator is NOT the club treasurer, and does NOT issue the payment. Rather, he/she must organize receipt of an invoice to the club from tournament management and ensure receipt of payment from club finance.

 

What are the registration payment procedures for non-EDP tournaments?

 

Please email the following to the Tournament Coordinator, at Tournament Registration ([email protected])

 

  1. Tournament name 
  2. Full Team Name (e.g., MUSC U11B White) - do not use MFMU or MatchFit as team name for Blue teams
  3. Date registered
  4. Confirmation #, if any
  5. Cost shown in application/confirmation email
  6. Please attach or forward any confirmation email received

 

What payment option do I choose when registering?

 

  1. Depending on the options, choose Pay By Check or eCheck; if you must choose Pay by eCheck, insert nine (9) zeros (0) into both the bank routing number and bank account number
  2. If there is room elsewhere in the application, indicate that payment will be made by club check
 

 

Who do I ask about team playing level and history, and coach information, to complete the application?

You must ask your coach and/or the director of your age group; the Tournament Coordinator CANNOT provide this.

If a tournament requires in-person team sign-in prior to tournament begin, must each team manager go?

Most tournaments allow one team manager/coach to sign-in for more than one or even all teams, but that person must have all applicable rosters, as well as original player and manager/coach cards. This must be coordinated among the team managers; the Tournament Coordinator is NOT involved in this. Instructions on in-person sign-in procedures are usually provided in the final registration confirmation from tournament management.

How do I provide feedback on tournament experience?

Email the following to Tournament Feedback ([email protected]):

  1. Team Name (e.g., MUSC U11B White)
  2. Tournament Name
  3. Tournament Date
  4. Flight/bracket entered into
  5. # of flight/bracket out of total # of flights/brackets (e.g., 2 out of 5, with 1 being the highest)
  6. Flighted just right, too high or too low
  7. Any notable opponents, including if ranked too high or too low
  8. Any other comments
